When you interact with Wellness Talks Health Centre — through our website, an intake form, a consultation call, or a booking on Jane App — we may collect personal information that includes your name, email address, phone number, date of birth, insurance details, and any clinical information you choose to share.

Our website may also automatically collect limited technical information (browser type, pages visited, approximate location) through privacy-friendly analytics to help us improve the site.

We use personal information to schedule and deliver counselling services, communicate with you about appointments, process direct-billing claims with your extended health plan, and meet our regulatory obligations as Registered Clinical Counsellors in British Columbia.

Clinical notes are kept in a secure electronic medical record and are used only to inform your care.

Your information is stored in Canadian-hosted, encrypted systems used widely by mental health professionals (Jane App for booking and billing; PIPEDA/PHIPA-compliant EMRs for clinical records).

Access is limited to the counsellor(s) directly involved in your care and, where required, our administrative staff under a duty of confidentiality.

We use Jane App for booking, billing, and secure video sessions; Google Workspace for business email; and select extended health insurers for direct billing when authorized by you. We do not sell or rent personal information to any third party.

You may request access to, correction of, or deletion of your personal information at any time, subject to the record-keeping requirements of the BC Association of Clinical Counsellors and British Columbia's Personal Information Protection Act.
